This Refund & Cancellation Policy explains the terms applicable to cancellations, refunds, payment reversals and service termination for services purchased from Digital Traffiq ("Digital Traffiq", "we", "us", or "our").

1. Scope of This Policy
This policy applies to payments made for Digital Traffiq services, including but not limited to:
- Digital marketing services
- Social media marketing
- Search engine optimisation (SEO)
- Paid advertising campaign management
- Lead generation services
- Lead nurturing services
- Email marketing
- WhatsApp marketing and automation
- CRM and lead management
- Chatbot and conversational automation
- Marketing and business workflow automation
- Content creation and content marketing
- Analytics and reporting
- Consulting and strategy services
- One-time technical setup services
- Other digital business growth services offered by Digital Traffiq
2. Service-Based Payments
Digital Traffiq primarily provides professional and customised services. Once a payment is received and work has commenced, resources may be allocated specifically to the client's project.
Accordingly, payments are not automatically refundable merely because the client subsequently changes their mind, does not use the service, or decides not to continue with the project after work has started.
3. Cancellation Before Work Begins
A client may request cancellation of a service before Digital Traffiq has commenced substantial work on the applicable project.
Any refund request will be reviewed based on the nature of the service, the amount of work already completed, resources already allocated, third-party costs incurred and the terms of the applicable quotation, proposal, invoice or service agreement.
Where eligible, an approved refund will be processed through the applicable payment method or payment gateway, subject to applicable payment processing timelines.
4. Cancellation After Work Has Started
Once work has commenced, including strategy development, campaign planning, account setup, creative production, automation development, technical configuration, content production, campaign execution or other project activities, the amount corresponding to work already performed may be non-refundable.
If a client cancels a project after work has commenced, Digital Traffiq may deduct applicable charges for completed work, resources committed and non-refundable third-party expenses before determining any eligible refund.
5. Recurring Services
For monthly, recurring or subscription-based services, the client may request cancellation of future service periods by contacting Digital Traffiq.
Cancellation of a recurring service will normally apply to future billing periods and will not automatically result in a refund for the current billing period.
If the current billing period has already started or services have already been delivered or scheduled, fees for that period may be non-refundable.
6. One-Time Setup Services
One-time setup services may include campaign setup, CRM configuration, WhatsApp or email automation setup, chatbot setup, workflow creation, tracking configuration, integrations, landing page setup or other technical implementation.
Once substantial setup or implementation work has commenced, the associated service fee may be non-refundable because the service involves dedicated technical resources and project-specific work.
7. Advertising Spend
Amounts paid directly to or allocated for third-party advertising platforms are subject to the respective platform's policies and refund rules.
Digital Traffiq is not responsible for refunds of advertising spend controlled or retained by a third-party advertising platform.
8. Third-Party Platform Charges
Some Digital Traffiq services may require third-party software, communication platforms, APIs, hosting, CRM systems, email services, WhatsApp services, automation platforms or other technology providers.
Where a third-party charge has been incurred specifically for a client's project, that charge may be non-refundable depending on the third-party provider's terms.
9. Eligible Refund Situations
Subject to review, a refund may be considered in circumstances such as:
- A payment was successfully received but the agreed service could not reasonably be commenced due to an issue attributable to Digital Traffiq.
- A duplicate payment was accidentally made for the same invoice or transaction.
- A payment was made in error and Digital Traffiq confirms that no service work or third-party cost has been incurred.
- A refund is specifically agreed upon in writing between Digital Traffiq and the client.
Each refund request is reviewed individually based on the applicable service, project status and payment circumstances.
10. Non-Refundable Situations
A refund may not be available in circumstances including:
- Work has already been completed or substantially performed.
- Customised deliverables have already been created or delivered.
- Campaigns, advertisements or marketing activities have already been launched or executed.
- Technical setup or automation implementation has already been completed or substantially completed.
- Third-party costs have already been incurred for the project.
- The client does not provide required information, access, approvals or feedback after work has commenced.
- The client changes their business strategy or decides not to use the service after work has commenced.
- Results do not meet expectations where no specific performance guarantee was contractually agreed.
- A third-party platform changes its policies, algorithms, functionality or approval requirements.
- A third-party advertising, communication or technology platform suspends, restricts or terminates an account.
11. Digital Marketing Results
Digital Traffiq does not guarantee a specific number of leads, sales, revenue, conversions, advertising results, search rankings, website traffic, followers, engagement or return on investment unless a specific written guarantee has been expressly agreed upon.
Therefore, dissatisfaction with marketing performance alone does not automatically create an entitlement to a refund.
12. Refund Request Process
To request a refund, the client should contact Digital Traffiq using the contact details provided below.
The request should include:
- Client or company name
- Email address or phone number used for the transaction
- Invoice or transaction reference, if available
- Date of payment
- Service purchased
- Reason for the refund request
- Any relevant supporting information
Digital Traffiq may request additional information reasonably required to verify the transaction and evaluate the refund request.
13. Refund Review
All refund requests are subject to review. Approval of a refund does not constitute an admission of liability or wrongdoing by Digital Traffiq.
Where a partial refund is approved, the refundable amount will be calculated after considering work completed, resources allocated and applicable non-refundable third-party expenses.
14. Refund Processing
The time taken for the refunded amount to appear in the customer's bank account, card account or other payment method may vary depending on the payment gateway, bank, card issuer or financial institution.
Digital Traffiq is not responsible for delays caused by banks, payment processors, card networks or other financial institutions after a refund has been successfully initiated by us.
15. Duplicate or Accidental Payments
If you believe that you have made a duplicate payment or an accidental payment, please contact us as soon as possible with the relevant transaction details.
After verification, eligible duplicate payments may be refunded through the applicable payment method, subject to verification and applicable processing conditions.
16. Failed Payment Transactions
If your bank account or payment method has been debited but the payment is not successfully reflected in Digital Traffiq's records, please contact us with the transaction details.
We will verify the transaction status with the relevant payment processor. If the transaction has failed but the amount was debited, the reversal or refund will generally be handled according to the payment gateway and banking process.
17. Chargebacks and Payment Disputes
If you have a concern regarding a payment or service, we encourage you to contact Digital Traffiq first so that we can review and resolve the matter.
This does not limit any rights available to customers under applicable law or through their bank, card issuer or payment service provider.
18. Service Cancellation by Digital Traffiq
Digital Traffiq may cancel or discontinue a service where reasonably necessary due to circumstances including non-payment, violation of applicable laws or platform policies, misuse of our services, abusive behaviour, security concerns or circumstances beyond our reasonable control.
Where Digital Traffiq cancels a prepaid service for reasons attributable solely to Digital Traffiq and the relevant service has not been delivered or commenced, an appropriate refund may be considered after accounting for any applicable completed work or non-refundable costs.
19. No Refund for Third-Party Platform Decisions
Digital Traffiq may assist clients with advertising, account setup, campaign management, automation and platform-related activities.
However, decisions made independently by third-party platforms, including account approvals, advertising approvals, account restrictions, suspensions, algorithm changes or policy enforcement, are outside Digital Traffiq's direct control.
Such third-party decisions do not automatically qualify the client for a refund of Digital Traffiq's professional service fees where the contracted work has already been performed.
20. Policy Changes
Digital Traffiq may update this Refund & Cancellation Policy from time to time to reflect changes in our services, payment methods, business practices or applicable legal requirements.
The updated version will be published on this page with a revised "Last Updated" date.
21. Governing Law
This Refund & Cancellation Policy shall be governed by and interpreted in accordance with the laws of India.
